Department Processes and Procedures

Volunteer Process 

If you are not hired or haven’t been previously employed by UCD:

  1. You will need a completed and cleared background check.
  2. You will need completed volunteer paperwork.
  3. Once Background is cleared and paperwork is complete, your application will get routed to Central Campus to get the final approval.
  4. Once approved by Central Campus, you may start your work in the lab.
  5. If you need access to open lab or keys: please look at the Key and Aggie Request Webform to submit a request. 

Minor Volunteer Process

  1. Refer to Youth Protection Program
  • Register the activity (For Example, Register as “activity” per lab).
    • Ensure that at least two people are listed as having care and custody of the minor
      • These people will have to have a background check, sign the code of conduct, completed CANRA training on LMS , and Keeping higher education programs safe training on LMS
    • Also list those that are present in the lab, but not necessarily working directly with the minor
      • Active background check not required, but we must check the national sex offenders public website. They must complete the two trainings listed above as well as sign the code of conduct.
  • Reach out to the minor and their guardian and have them fill out:

Please Note: 

  • Make sure to keep all documentation on file during the duration that the minor is in the lab!
  • Minors will NOT be provided with keys for labs due to liability concerns and cannot be left unsupervised!

J-1 Program Start Dates

Recently SISS has seen an increase in unrealistic DS-2019 start dates with submitted requests. Please continue to communicate with your faculty that the overall process does not only involve DS-2019 issuance but also interview appointment scheduling at U.S. embassies abroad, visa processing times, and possible delays in obtaining an appointment or the visa. *The start date should be at least two months in the future at the time of request submission, for J scholars from Iran and Pakistan it should be six months in the future. For Canadian nationals the start date may be at least one month from submission as they are U.S. visa exempt (they still need the DS-2019). Thank you for your support in continuing to communicate about visa timelines with the host faculty!

*When selecting a start date for your scholar/student, please allow sufficient time for processing and for the individual to schedule and attend any required visa interview appointments.
